The core processes of a company always need documents for their implementation: the receipt of a document (e.g. an invoice payable), the approval of an order or a purchase request, a complaint received by e-mail, are examples of processes that have the document as their central element.
The Process Management
STRUCTURED WORKFLOW
Archiflow can manage the processes, the flow of documents and data, and support users in carrying out their work, through a powerful workflow engine. A series of procedural rules are defined, through which the system automatically transmits the activities from one user to another, tracing the timing and the operations.
COLLABORATIVE WORKFLOW
This mode uses the capabilities of the ECM platform to manage all or part of the operational processes, without delegating to the system any of the responsibilities currently in charge to users (manual management of processes).
TASK ON DEMAND
Thanks to the flexibility of the Task on Demand Archiflow module, the employees of each organization can create independently and intuitively simplified workflows to share tasks, procedures and organizational styles with few simple clicks. On sharing a document you can assign a task to a user, defining its priority and Expiration Date. With the Task on Demand you can:
DEFINE sequences of activities and micro processes
SAVE models and set of recipients, even personal, to proceed to assignments more easily, never having to start from scratch.
SHARE goals with employees and colleagues through the allocation of activities and tasks from email, Archiflow cards or from scratch.
SIMPLIFY the handover by writing your notes.
ACTIVATE independently multiple processes on the same card simultaneously.
Archiflow Workflow Engine
- Graphic Designer for the rapid implementation of processes
- Support of BPMN notation for representing and loading processes
- Possibility to associate with each Document Type a specific workflow, which is automatically triggered on inserting a card of that type
- Possibility to define different processes for the same Document Type; the choice of which process/procedure to start can be conditioned by the value of the profiling metadata, or chosen by the User
- Availability of a set of pre-configured automatic activities for the execution of the most frequently performed operations in a business process (reading e-mail, documents compilation, database access).
- Routing elements and conditioned choices to define different “paths” within each process
- Identification of the Roles that are responsible for carrying out an activity
- Definition of process owners and managers of the individual flow
