Analysis and consulting
Analysis of the regulatory context
National regulations are continuously evolving. Today, they allow legally valid digital preservation of documents that originated in electronic format or were digitized from paper originals. Today, the management of tax documentation is one of the more profitable opportunities on the market, because the cost reductions are easily quantified and are significant. Because this involves legal validity, the regulatory procedures must be scrupulously followed. Even if they are sufficiently clear, the regulations present distinctions and interpretations that must be carefully evaluated in the context of business processes. Regulatory consulting is essential to analyze document types that could be affected by the procedures, to define the correct processes and to fulfill all the specific regulatory requirements.
Analysis of existing processes
The documentary processes in a company normally are not the result of prior analysis, but are connected to well-rooted habits that have solidified over time. Often, during our analyses of existing situations (AS IS), we discover redundant activities in the company procedures, which lead to inefficiencies. Therefore, process analysis has the double purpose of describing the existing (paper) document flows to plan their "conversion" into electronic flows and of trying to identify useless activities to maximize overall efficiency. During this phase, the operational costs and times of paper processes are identified. These can then be used to compare the increases in efficiency and overall savings that can be obtained using Siav solutions.
Definition and design of new information data processes
The definition and design of electronic document flows is a very delicate activity, because it involves action by the Customer's professionals. Often it is the critical element that determines the success of a project. Thus, the analysis is very important and often involves a Customer's project team, which must be guided and advised in its choices by very experienced consultants. This type of activity leads to a theoretical definition of new internal processes, making it possible to quantify the increase in efficiency that can be obtained from the changes introduced and to discard those that are less significant.
Evaluating business impact and return on investment
When faced with a new internal project, one thing that a company's management wants to know is the return on investment of the project. This quantitative datum is of fundamental importance, because, together with the size of the investment (non-quantifiable improvements), it makes it possible to decide whether a project should be undertaken or not. In addition, the impact on the Company of absorbing the new procedures (personnel training, temporary workload increases, internal resistance, etc.) must be evaluated to define the project timelines, so as not to create a crisis for the organizations involved. These evaluations provide essential data for preparing the project Business Plan, and they often require great experience gained from similar projects.
Assistance in realizing the project Business Plan
Delicate and critical projects like those involving documentary processes within a company are often assigned to a Focus Team, which is charged with analyzing the situation and producing a detailed Business Plan for Management.
Compiling this type of document often requires specific consulting in order to maximize the information content of the document, at the same time keeping it simple to understand.
Thus, Siav consultants can be involved in drafting the document, collaborating actively with the Focus Team and the Customer’s project point of contact.
Assistance during the presentation to company management
A very delicate phase in the project management process is the presentation to company management. Whether the project progresses to the operational phase or is abandoned depends on this presentation; therefore, every minute detail must be carefully examined and managed. The choice of subjects to present, the presentation of success stories with strong analogies and possibly direct participation in the presentation can make a big difference, and Siav Consultants can provide all the support needed to "pass from theory to practice."
Drafting the project plan (Purchase Order Specifications)
The project has been approved; now what do we do? There is only one answer to this question: prepare a detailed plan that will guide the operational phase to its conclusion and finalize the implementing activities and the necessary inspections. This document must describe all the important aspects in sufficient detail to avoid significant changes to the plan during the work, which would have consequences for the timelines and the estimated costs.
